How school management software is priced in India

Vendors usually price in one of two ways: per student per year, or per school per year. Per-student pricing looks cheap in a demo and grows every time enrolment grows. Per-school pricing is easier to budget, because it does not change when a new section opens.

Many vendors do not publish a price at all and quote only after a sales call. When comparing quotes, put them on the same basis — total per year for your school at your current and expected enrolment.

What the quote should include

• Which modules are included, and which are add-ons.
• Whether GST is included or extra. Software services attract GST at 18%.
• Onboarding: data import, configuration and staff training — included, or charged separately?
• The parent app: is it included, and does it carry your school’s name?
• Support: languages, hours and response channel.
• Renewal terms and how to cancel.

Checklist for CBSE, ICSE and state-board schools

• Attendance: daily and period-wise, with a running percentage for board eligibility.
• Exams: your own exam schedules, marks entry and report cards that staff review before publishing.
• Timetable: templates, teacher allotment, conflict detection and substitute cover.
• Roles: your own role names and reporting lines, with access scoped to classes and sections.
• Payroll: Indian salary components, with an approval step.
• Holidays: an India-calendar holiday list you can manage.
• Audit: a readable record of who changed what.
• Data: each school’s data kept separate, and an export path if you leave.

Questions to ask every vendor

• Can I see the product with my school’s roles and structure, not a generic demo school?
• Who imports our existing data, and from what formats?
• Do we have to move every desk at once?
• What does the system decide on its own, and what waits for a person?
• What happens to our data if we stop subscribing?
