How do you manage WhatsApp orders without losing any?

By the Gritticon team · Updated · 5 min read

To stop losing WhatsApp orders, take the order out of the chat. Share one order link in your chats and status, let customers choose items, sizes and their address themselves, and work from a list of open orders instead of scrolling messages. Keep WhatsApp for conversation and keep orders in one place.

Why WhatsApp orders get lost

WhatsApp is excellent at conversation and poor at bookkeeping. Orders land between greetings and forwarded messages. Details arrive in pieces — the item now, the size later, the address after you ask. A busy hour pushes an order up and out of sight, and the customer who ordered at night reasonably expects you to have seen it.

The second problem comes after you notice the order: you copy it somewhere else to act on it. The copy is where mistakes happen — a wrong quantity, a swapped address, a forgotten extra.

Habits that help today

Even before you change any tool, a few habits cut losses:

  • Ask for every order in one message with a fixed format: item, size, quantity, name, address, and cash or online.
  • Reply to each order with a short confirmation, so both of you have the same version in writing.
  • Keep one list of open orders — a notebook page or a sheet — and tick each one off only when it is paid and delivered.
  • Check for new orders at fixed times, so a late-night order is never left until the customer chases it.

Move the order out of the chat

Habits reduce mistakes; they do not remove the copying. The lasting fix is to let the customer place the order somewhere that records it completely the first time: a page with your items, prices and options, where they fill in their own details and choose how to pay.

You still send that link on WhatsApp. The chat carries the conversation and the link carries the order, and you never have to rebuild an order from five messages.

Keep WhatsApp for what it is good at

Customers will still ask questions, send photos and want reassurance. Answer them where they ask. What changes is the last step: instead of “send me your address”, you reply with the link. Regulars learn quickly, because ordering on a page is faster for them too.

Signs it is time to change

  • You regularly scroll back through chats to find an order.
  • Someone else retypes orders for the kitchen, the packing table or the rider.
  • Customers ask “did you get my order?” more than once a day.
  • At the end of the day you are not sure which orders were paid.

How Gritticon OMS handles it

Your Gritticon OMS shop has one link, https://{your-shop}.stores.gritticon.com. Customers pick items, sizes and extras before they order; if a choice is required, the add button stays grey and says why, such as “Choose size to continue”. They give their name, phone and address and choose delivery or collection.

Each order arrives as one ticket with the items, the choices, the address and how they will pay. You move it with the button on the ticket — Start preparing, Mark ready, Out for delivery, Delivered — and Delivered and Cash collected are separate buttons, so you always know what has arrived and what has been paid.

One honest note: Gritticon OMS does not send the customer an SMS or WhatsApp message. The order number is on the customer’s own order page, which they can keep and reopen to check the status.

A simple daily routine

  • Morning: open the order list and plan the day from it, not from the chat.
  • When something runs out, untick it; it stays visible as unavailable instead of disappearing.
  • During the day: move each ticket forward as the work happens.
  • Evening: match Cash collected against the money in hand.

Quick answers

Common questions

Does Gritticon OMS send WhatsApp messages to my customers?

No. It does not send SMS or WhatsApp messages. Customers see their order and its status on their own order page.

Can I keep talking to customers on WhatsApp?

Yes. Keep the conversation on WhatsApp and send your shop link when someone wants to order.

What if a customer still sends an order as a message?

Reply with your shop link and ask them to place it there, so the order is recorded completely. Most regulars switch after the first time.
